Obowiązki:
As the Operations Manager at Mindgram, you will be a pivotal figure in our team, responsible for the coordination of the legal, compliance, admin and operational dimensions of the company and you will be reporting directly to our Head of Operations & Finance. Your role will encompass establishing and overseeing processes, driving efficiency, ensuring security and compliance, and fostering cross-functional synergy for the company's continued growth and prosperity
Your key responsibilities will include, but are not limited to:
● Team Coordination and Development:
• Coordinate activities within the Finance & Operations Team
• Establish goals aligned with company strategy and requirements. ○
• Monitor and report progress on strategic projects. ○
• Cultivate a culture of learning, growth, and collaboration among team members. ○
• Collaborate with cross-functional teams to achieve project objectives
• Continuously enhance project management methodologies for optimal outcomes
● Legal and Compliance Oversight:
• Ensure company operations comply with legal regulations and industry standards
• Collaborate with internal and external legal experts to address legal matters and mitigate risks
• Stay informed about regulatory changes and their potential impacts on the business
● Financial & Accounting Processes Coordination:
• Monitor budget and KPI performance to align with company goals
• Work with the Head of Operations and Finance to improve financial strategies and processes
• Provide data-driven insights for informed decision-making and strategic planning
● Security and Data Protection:
• Safeguard sensitive data by implementing and overseeing security measures and data protection protocols
• Keep the organization updated on evolving security trends and ensure compliance with data privacy regulations
• Implement the culture of data security awareness across the organization by improving existing and introducing new policies into the organization
● Operational Efficiency Enhancement:
• Standardize and optimize operational processes and procedures
• Lead continuous improvement initiatives to boost team and organizational productivity
• Design, document, and implement standardized processes
• Identify and address bottlenecks for increased efficiency
• Establish organizational standards, guidelines, and best practices
• Ensure consistent implementation across departments for operational coherence
● Risk Assessment and Mitigation:
• Identify operational, compliance, legal, and financial risks
• Develop and implement mitigation strategies
• Conduct comprehensive risk assessments to protect company interests
Support employees, IT equipment and systems users - direct and remote - receiving, resolving and monitoring issues connected to apps, tools, systems and hardware
Management of accounts and user permissions in company systems (internal and external)
Maintenance and monitoring of company tech-stack
Management of procurement procedures in terms of IT equipment (contacting suppliers, orders processing, invoice recording)
Controlling warranty and post-warranty services conducted on company property, monitoring equipment insurance
Collaboration with accounting office in terms of fixed assets register
Providing cross organisational support in all matters related to privacy
Generating privacy-related content for the Marketing and PR Team
Supporting the sales and customer success team from a customer-facing perspective on privacy-related queries
Monitoring legislative and regulatory developments in the area of data protection and privacy, particularly in the PL and ES markets
Proactive participation in the specification of Data Privacy & Security Management Policies
Management of technical aspects of compliance regarding data protection laws, rules and guidance applicable to Data Privacy Management software and Data internal compliance
Participating and advising on data protection issues in company-wide initiatives
Developing and implementing compliance frameworks including templates and guidance notes for privacy, data protection, cross-border transfers, and other privacy and personal data matters
Management of processes and procedures related to office space (keeping a register of keys and office access cards, coordination of outgoing and incoming correspondence, purchasing of the office equipment, control of administrative costs related to running the office, contact with the office and building administration)
Keeping an archive of documents (also in electronic form)
Supporting accounting processes (handling of cost invoices, issuing correction notes, handling sales invoices: preparing statements for an accounting office, handling payments, entering transfers)
Supporting administrative processes (assistance in introducing new employees: creating e-mail accounts and providing access to tools, preparing contracts)
Coordination of the work of selected contractors and partners, negotiating contract terms, enforcing contract provisions
Coordination of tools and subscriptions used by Mindgram employees
Purchase of marketing gadgets and gifts for employees, customers, and partners of the company
Organization of corporate events and meetings
Booking of tickets and hotels in the event of business trips
