Obowiązki:
Kimble administrative support- checking overbooking and ensuring all bookings in place on weekly basis
Support in week and month system closure- checking all projects activated on time to allow time sheet submission, supporting for manual submission as needed
Coordinating with sector operations coordinators and consultants and booking business development assignments, project ramp downs and bookings in the Kimble Sales Force (Staffing Tool)
Booking as required and informed by HR sick leave, other unavailable, parental leave, training
Weekly send out of traffic lights- how the intensity looks on projects the week ahead
The role provides high quality PA support to Partners and administrative support to their client projects. PAs are expected to perform and excel at the following key set of tasks, but this list is not exhaustive and other tasks may be requested
Develop and maintain an effective working relationship with their Partners, adding value by using initiative to enhance service delivery and efficiency
Proactive diary management, including effective management of Partners’ conflicting priorities
Support Partners with project administration, assuming duties as project secretary on appropriate client engagements. Ensure familiarity with these projects and work with the project manager to ensure that client meetings, project meetings and client calls are arranged within defined timescales
Meeting set-up and co-ordination
Book and coordinate travel, accommodation and other logistic arrangements
Document and slide creation, preparation and printing
Compile and submit expenses
Coordinate and support client relationships through handling client enquiries, booking meetings and building relationships with key client PAs
Minute-taking at meetings, as required
Work with the Marketing team on ad-hoc marketing campaigns for Partners, as required
Contribute to wider PA team development, effectiveness and success by sharing knowledge and good practice, working collaboratively to create a productive, diverse and supportive working environment
Collaborate with the wider firm and business services teams to contribute to various OC&C projects and initiatives
